Tactics for Implementation of 2008 Strategic Objectives
I. Strategic Objective: Communication
Champion: David Baird, Carol Rose
PUBLICIZE THE ASSOCIATION’S POLICIES, PROCEDURES, PROGRAMS, AND ACTIVITIES.
Tactics:
- Establish a weekly column in the “Punta Gorda Sun Herald”
- Create and maintain a bulletin board for Association and community news.
- Establish an e-mail broadcast capability for breaking news for Association members.
- Establish “Letter to the Board” and response item in the “Commentator”.
- Have an updated Policy & Procedures book in the Association office & on the web.
- Increase PGICA web site hits by publicizing the site in all PGICA publications, broadcast e-mails, the PGICA Bulletin Board and in all press releases.
- Establish a process to ensure Desk Volunteers have current information and contact list.
- Run supplements in the Sun newspaper 1-2 times a year.
- Place extra copies of “Commentator” in real estate offices for prospective new members.
- Use the President’s Council to disseminate Association news.
II. Strategic Objective: Education
Champion: Barbara Owen
PROVIDE MEANINGFUL AND EFFECTIVE EDUCATIONAL PROGRAMS.
Tactics:
- Increase the number of public workshops & symposia.
- Search for new class offerings via membership surveys & membership input.
- Notify the public about classes in newspapers: Community Calendar, “Punta Gorda Herald”, “Fitness”, “Waterline”, etc.
- List classes in the “Commentator”, on the Association Bulletin Board, in e-mail broadcasts and on the PGICA web site.
- Evaluate education programs annually.
- Set up a classroom for computer and digital photography instruction.
- Offer classrooms for programs by other organizations or individuals for a rental fee; reduced fee for non-profits.
- Conduct a Community Education Fair.
III. Strategic Objective: Land Development Regulations (LDRs)
Champion: Bill Folchi, Don McCormick
MONITOR LAND DEVELOPMENT REGULATIONS TO ASSURE CONTINUATION OF THE BENEFITS OF LIVING IN A DEED RESTRICTED COMMUNITY.
Tactics:
- Communicate to the membership the details and implementation of the LDRs. Include related city phone numbers.
- Establish a task force to determine the need for additional LDRs.
- Conduct meetings with the City Planner to discuss any LDR issues affecting PGI.
IV. Strategic Objective: Health, Safety and Welfare
Champion: La-Verne Tyler
DEVELOP AND SUPPORT INITIATIVES THAT PROVIDE FOR THE HEALTH, SAFETY AND WELFARE OF OUR COMMUNITY.
Tactics:
- Expand the number of certified Community Emergency Response Team (CERT) members by recruiting and making training available.
- Establish/expand Neighborhood Watch programs
- Establish a Canal Watch program
- To ensure readiness for Search and Rescue events, establish a PGICA Liaison with the local U. S. Coast Guard Auxiliary.
- To ensure readiness for disasters requiring use of the Civic Center as a Refuge of Last Resort, establish a Liaison with the Charlotte County Emergency Operations Center.
- Develop a communication chain of responsibility with each group to ensure that a PGICA Liaison person is always available in the event of a sudden need.
- Establish health support groups, e.g., Medicare, cancer, diabetes.
- Establish an “Are You OK” program for the elderly.
- Promote classes in other venues, such as First Aid, CPR, Automatic Electronic Defibrillators (AED), new approaches to the avoidance and management of various diseases, etc.
- Encourage other organizations to use the PGI Civic Center for their health screenings with reduced fees for PGICA members.
- Continue to sponsor Disaster Preparedness seminars.
- Actively support upgrading of Isles evacuation routes.
V. Strategic Objective: Critical Issues
Champion: Don McCormick, Bill Folchi
STRENGTHEN THE ORGANIZATION’S CAPACITY FOR TIMELY RESPONSE TO ISSUES AFFECTING OUR COMMUNITY.
Tactics:
- Designate a “Community Monitoring Committee” (CMC) to review
- zoning - emergency services
- community development - land developer initiatives & public hearings
- criminal activity patterns - other matters requiring prompt attention
- canal maintenance
- Increase Board and membership attendance at governmental meetings to improve PGICA strategic influence.
- Formalize mechanisms and procedures for the city to notify, advise and make recommendations to the Board or Executive Committee.
- Establish and/or strengthen communication mechanisms for disseminating information & recommendations to the PGICA membership through:
- formalized e-mail network
- prompt posting on the PGICA web site
- regular feature articles in the “Commentator” by the Chairperson of CMC
- CMC reports on town meetings
VI. Strategic Objective: Recovery and Disaster Preparedness
FOSTER AND SUPPORT DISASTER MITIGATION AND RECOVERY PROGRAMS FOR PGI.
Tactics:
Hurricane Recovery
Champion: Jim Doolittle, Don McCormick
- Develop and implement a plan to repair damage to common areas.
- Assign a Liaison team to represent the PGICA in city recovery programs, e.g., TEAM Punta Gorda.
- Hold town meetings to provide information on matters of community interest, e.g., insurance, landscaping, contractors, etc.
VII. Strategic Objective: Membership
Champions: David Brower
STRENGTHEN MEMBERSHIP PROGRAMS AND ACTIVITIES TO INCREASE RESIDENT PARTICIPATION IN THE PGICA.
Tactics:
- Develop an evaluation program to determine whether each activity or program is meeting member needs and wants.
- Continue the “Newcomers Club”.
- Seek to develop a Welcome Wagon type of program.
- Develop a handout for distribution to all new PGI residents to introduce them to the PGICA.
- Conduct meetings with informational programs for members & non-members.
- Improve current membership incentive programs and develop new programs to increase membership.
- Develop a program with local Realtors to introduce their clients to the PGICA.
- Develop an updated, sophisticated booklet and information packet for new members.
- Expand and improve “Shop Punta Gorda” program.
- Continue assessment and improvement of membership data base.
Enhance Activities (Groups, Clubs, Special Events) to encourage participation:
Champions: Mary Jollett
- Chair a Council of the presidents, commodores, or chairs (or their designees) of the sanctioned groups within the Association and the managers of the identified volunteer groups (front desk receptionists, The Gifted Gator Boutique) to disseminate information of Board actions, to share the concerns of the groups, to promote cooperation and volunteer time for specific events/tasks requested by the Board or by the groups. The Council will meet at least quarterly. Additional meetings will be added as determined necessary by the Director of Group Activities or requested by the President of the Association.
- Establish additional groups/clubs as requested by members or by the Board.
- Assist volunteer managers in establishing position descriptions for volunteers and in recruitment of qualified volunteer members.
- Continue the Annual Volunteers Recognition Event.
- Enhance the recognition of volunteer time/talent donated by members or sanctioned groups.
- Establish a Special Events Committee. This volunteer group will be charged with management of all Association events directed by the Board. A qualified Chair will be recruited to form and chair the committee.
VIII. Strategic Objective: Organizational Structure and Financial Integrity
Champions: Frank Mazur, Brenda Lynch, Jim/Patti Doolittle, Don McCormick, Mike Fauci
ENHANCE THE ASSOCIATION’S GOVERNANCE, FINANCIAL, AND OPERATIONAL STRUCTURES TO SUPPORT THE IMPLEMENTATION OF THE STRATEGIC PLAN.
Tactics:
- Monitor and ensure adherence to the annual PGICA budget.
- Develop additional sources of income: room rental, re-capture sales tax, grants, fee structure.
- Maintain accounting procedures for 501 (c) (3) status
- Broadly publicize awareness and benefits of being a 501 (c) (3) organization.
- Review PGICA Bylaws and Policies and Procedures to reflect new strategic & operational plans.
- Maintain all Bylaws, Policies and Procedures in the Policy & Procedures Manual, including all groups, activities and programs.
- Monitor progress of the Strategic and Operational Plans on an ongoing basis.
- Establish job description, including salary range and benefits package, for new Building Administrator position.
- Recruit Volunteer members experienced in seeking grants and preparing grant applications to fulfill our strategic objectives.
- Establish a committee to identify and support grant-worthy causes in Punta Gorda by:
- establishing criteria for dispensing grants
- publicizing the availability of such grants to the appropriate target population
- recommending grant recipients to the PGICA Board of Directors for approval
Beautification
Establish a Landscape and Garden Committee/Group. A qualified chair will be recruited to chair this committee. The primary charge of this committee/group will be Beautification of the Association grounds and green spaces in PGI. The committee/group may conduct related activities of interest to gardeners for its members or for PGICA members.
Renew the Cul de Sac program.
- Continue Green space efforts.
- Establish a Greenbelt program.
- Encourage individual landscaping.
- Develop and implement a plan for financial and Volunteer support of the landscaping and interior furnishings of the new Civic Center.
- Establish a plan for xeriscaping the Albatross and Socorro utility areas.
